Section 1: Filling in the feedback

In this section, a new customer fills in feedback forms.

Screening questions

The first part of this form is a paragraph that's titled: !!! IMPORTANT CHANGES you need to make BEFORE running this workflow: This paragraph contains instructions on how to personalize the workflow for you and your company. If you intend to run the workflow, these changes can not be ignored.

Next you'll notice three faded out fields. These are called 'hidden fields'. These fields capture information without displaying it to the user and make the information available to other tasks in the workflow.

The workflow starts when a new customer fills in this form, indicating their age and gender.

This is a 'published task' - anybody can view and complete this form, they do not have to be a logged-in user.

Depending on which options are chosen in this form, one of three different forms will be displayed next. These are the 'Female quality comparison', 'Male quality comparison' and 'Kids quality comparison' form tasks.

This is possible because of conditions.

Kids quality comparison

The three forms which could be displayed are currently all the same (but they can be customized to suit your feedback requirements). Instead of explaining all three, only the 'Kids quality comparison' form task will be explained in detail.

This form task has one condition:

Activate this task when...
'Please click on the category that includes your age' IS '17 or younger'

This form task will only be activated if the customer indicates that they're 17 or younger in the previous form task.

'Female quality comparison' has two conditions:

Activate this task when...
'Please click on the category that includes your age' IS '18 or older'
AND
'Gender' IS 'Female'

'Male quality comparison' has two conditions:

'Please click on the category that includes your age' IS '18 or older'
AND
'Gender' IS 'Male'


The customer indicates satisfaction with the product/service, as well as their level of importance when choosing a brand of the product/service. They can suggest product improvements, if they have any.

Kids purchasing behavior

As with the previous step, there are three forms which could be displayed in this step. These are the 'Female purchasing behavior', 'Male purchasing behavior' and 'Kids purchasing behavior' form tasks. As before, they are currently all the same, so only the 'Kids purchasing behavior' form task will be explained in detail.

This form has the same condition as the previous form task:

Activate this task when...
'Please click on the category that includes your age' IS '17 or younger'

This form task will only be activated if the customer indicates that they're 17 or younger in the 'Screening questions' form task.

The customer answers a few questions relating to their purchasing behavior, and saves the form.

Section 2: Joining the mailing list

The customer indicates if they'd like to be added to the mailing list, and provides their details if applicable.

After viewing a 'thank you' note for completing the survey, the customer indicates if they'd like to be added to the mailing list.

This form task has one condition:

Activate this task when...
'Would you like to be added to our mailing list for further specials, surveys or special offers?' IS 'Yes'

This form will only be displayed if the customer indicated that they'd like to be added to the mailing list in the previous form task.

The customer fills in their email address to be added to the mailing list.

Add to mailing list

This email task has two conditions:

Activate this task when...
'Would you like to be added to our mailing list for further specials, surveys or special offers?' IS 'Yes'
AND
'Email address' IS NOT '____'

This email will only be sent if the customer indicated that they'd like to be added to the mailing list in the 'Thank you' form task, AND if they filled in their email address in the previous form task.

The customer receives an email confirming that they'll be added to the mailing list.

Kotive creates some of the content of the email by pulling in the customer's name from the first form.

Let's start by looking at how the email is typed up. There are lots of normal looking text words, but there are also a few rectangular, shaded in, blocks of text. What's the difference?

Well, the normal text is just that: normal text. There's nothing special about it. But the blocks of text are actually information that is being pulled in from the first form. If you click on the text area of the email while in the webapp, you'll see that it changes and suddenly looks like a lot of code with lots of curly brackets { } and numbers. This code (also called dynamic field tags) is what tells these fields of text what they're going to end up saying. When this email gets sent to the customer, it won't look like it does now, it will all be normal text, because the workflow will look at the previous form and put the information from that form into this email.

Section 3: Notification emails

In this section, the person who needs to be notified about completed surveys receives one of two email about the feedback.

This email task has the same conditions as the previous email task:

'Would you like to be added to our mailing list for further specials, surveys or special offers?' IS 'Yes'
AND
'Email address' IS NOT '____'

This email will only be sent if the customer indicated that they'd like to be added to the mailing list in the 'Thank you' form task, AND if they filled in their email address in the 'Mailing list' form task.

A notification email is sent, notifying that a feedback survey has been completed for review and that the customer would like to be added to the mailing list.

Notify no mailing list

This email task has one condition:

Activate this task when...
'Would you like to be added to our mailing list for further specials, surveys or special offers?' IS 'No'

This email will only be sent if the customer indicated that they wouldn't like to be added to the mailing list in the 'Thank you' form task.

A notification email is sent, notifying that a feedback survey has been completed for review.
Notify no mailing list

After the 'Notify mailing list' or the 'Notify no mailing list' email has been sent, the 'Product/service quality comparison' workflow is complete.
