Include and use predefined options (people)

Predefined options are used as an alternative to typing your own options for radiobutton, checkbox and select (dropdown) fields.

There are 2 types of predefined options you can include:

Dynamic information from within Kotive Miscellaneous
People Salutations
Organizations/teams Days of the week
Roles Months of the year
  Timezones
  Countries
  Countries with code
  Satisfaction
  Importance



How to add a list of people as predefined options in radiobuttons

This list of people will consist of the people in the organization/team in which this workflow’s data is being captured.

  1. Within an existing form, click the “Add a new field” button. Select ‘Radiobutton’ as the type of field. Give the field a label.

  2. Instead of typing in custom options, click the ‘Switch to predefined options’ button.

  3. Select ‘All people’ from ‘within the current organization/team, show…’

  4. Tick if this is a required field. Fill in any help text that will assist the end-user when filling-in your form. Done.

  5. In the Designer the ‘Select a person’ radiobutton field now shows a text description of what will be displayed in the form when a person views it.

  6. When using the workflow, a list of all the people in the current organization/team will be shown as radiobuttons.


How to only show a list of people based on their roles

You can refine the list of people and only show people who have a specific role such as ‘Supervisors’.

We’ll assume that you have added a ‘Supervisors’ role.

To show the list of the ‘Supervisors’ in the current organization/team as options in radiobuttons: follow the above steps 1 - 6 but for step 3, select ‘Supervisors’ from ‘within the current organization/team, show…’.
