Advertisement Approval Process

In Kotive Compliance, you can either record the details of an advertisement in the “Advertisement Register” or use the “Advertisement Approval Process” to manage the approval of advertisements prior to placement.

The “Advertisement Register” and “Advertisement Approval Process” can be found under the “Registers” menu in Kotive Compliance.


Details of the Advertisement

The first step is to submit the details of the Advertisement. You can:

  • indicate the person who is submitting the advertisement for review,
  • indicate the intended placement date,
  • describe the advertisement,
  • upload electronic copies (or screengrabs) of the advertisement,
  • specify the placement frequency,
  • specify the type of advertisement, and
  • select a person who should be notified to review the advertisement.

On submission, the person indicated in the “To be reviewed by” field will receive an email notification to review the advertisement.

Reviewing the Advertisement

After clicking on the link in the email to review the newly uploaded advertisement, a form is shown with all the details of the advertisement.

Note: only a person with one of the following roles can review the advertisement:

  • Compliance Admin
  • Compliance Officer
  • Key Individual
  • Manager

The reviewer can now Approve or Reject the advertisement, and leave a comment if necessary.

Outcome of the Advertisement Review

After completing the review, the person who originally submitted the advertisement receives an email with the outcome (approved/rejected) of the review, and any comment made by the reviewer.
